Purchase Order Entry
Printing labels from this location allows “pre-printing” labels for receiving. Since serial/lot numbers are not known at this time, LabelLink will treat all items as if they are non-serial/lot controlled. If Serial or Lot Numbers are known they can be entered using the Manual Entry window.
SmartList
See the SmartList Labels chapter for more information. When printing from a SmartList favorite the LabelLink window looks and functions slightly differently than when it prints from other Dynamics GP windows. There are also special considerations for creating the label formats.
Label: Select the type of label you want to print. If you have different labels for different types of items, you can select one type of label, restrict the window to the desired Item Number (see Item Number below), the print labels for the selected item. When printing is done, change the Label setting, change the item restriction, then print the second label type.
If a label is linked to items (See Item Label Setup), the scrolling window will show ONLY the items linked to the selected label. Any other items from the source transaction are hidden.
Show: If Item specific labels are being used (See Item Label Setup), use the Show drop-down to view either the Items assigned to the selected label, or All Items. If a Label is assigned to items, the Show dropdown list will be set to “Items Assigned To Label”, otherwise it will be set to “All Items”. You can change which option is selected. If the selected label is NOT assigned to items, changing the Show setting will not have an effect on what is displayed—all items will be shown in the scrolling window. What is shown in the scrolling window is what will be sent to the label printer, so “All Items” should be selected to print labels for all Items on a transaction.
Source: The source field is the Document Number of the source transaction. If you have set an Item Number filter, changed Label Per setting, deleted lines, or any other changes, you can refresh LabelLink from the source document by click the Refresh button (shown below).
Hide Options: Mark one or more options to hide Items from the display, which also excludes them from the label run. Hide items that are Non-Tracked, Serial Tracked, or Lot Tracked.
Manual Entry: See the Manual Entry chapter of this manual for more detail. The Manual Entry window is used to edit the information LabelLink will use to create labels, such as adding a User Defined entry.
Item Number Column Header: Click the blue, underlined “Item Number” column header to restrict the display by Item Number.
Delete All Button: The Delete All button deletes all currently displayed records from the scrolling window. If you use Item-Label Linking (see the Item Label Setup chapter), the Delete All button can be particularly useful. In this scenario, select an Item Label, print the labels, then click the Delete All button and select a new Item Label. When the “view all” label shows no items, you know that all labels have been printed for the transaction. NOTE: the Delete All button removes records from the LabelLink temporary table. To re-load all Items from a transaction, click the Refresh button located near the Source document field (two blue arrows in a circle).
Label Per Column Header: Click the blue, underlined “Label Per” column header to change the Label Per setting on all lines. There is more information about “Label Per” later in this chapter.
Copies Column Header: Click the blue, underlined “Copies” column header to change the number of copies on all lines.
Delete Line: click the red X on a line to delete the row from the display.
Label Per: LabelLink attempts to figure-out the best method of printing labels for the Item. For example, for a non-serial/lot tracked item it will default to Base U of M. This results in one label per base Unit of Measure, so if a CASE is ordered, and a CASE contains 12-EA, LabelLink assumes you want to print one label per item, so it will default to 12 Labels (the quantity in the Base U of M). If you want to print one label for the CASE, change the Label Per setting to Transaction U of M.
The following rules are used to set the default Label Per setting:
Per Item: Used if the Item does not have serial or lot numbers, and the QTY Decimal Places is more than zero. For example, you might buy nails by the pound. If you receive 1.25 LBS of nails, LabelLink will default to Label Per ITEM, assuming you want to print one label for the container of nails.
Per Base U of M: Used if the item does not have serial or lot numbers, and it has no QTY Decimal Places. This is an inventory item in “eaches”. Since it has no QTY Decimals, there are discrete units. This could be tires, baseballs, or boxes of detergent. LabelLink will default to printing one label per base Unit of Measure, so that if you receive a Pallet of 100 it will print 100 labels.
Per Base U of M / Bin: This is the same as Base U of M, but multi-bins is enabled, which means the quantity received of an item could be split into different bins, so the label table will include the Bin.
Per Trxn U of M: Used if the Item has Lot Numbers and ZERO QTY Decimals. LabelLink is making an assumption that the item involved is a “container of” a lot controlled item, such as a box of syringes, a tray of capacitors, or a bottle of tablets. While the total quantity (i.e. 100 tablets in a bottle) is received into inventory, the transaction is performed using a higher unit of measure, such as a box or bottle. In this case you need to print 1-label with the lot number per Transaction Unit of Measure.
Per Lot Number: Used if the Item has Lot Numbers and QTY Decimals greater than one. This is a lot controlled item that is NOT measure in discrete units—it could be 1.25 feet, 30.00 LBS, or 50.25g. LabelLink assumes such items are in a container, or spool, or other such packaging where the entire quantity is in one container so it defaults to print one label per Lot Number.
Per Serial Number: Used if the item has Serial numbers. LabelLink assumes you will need to print one label per Base Unit of Measure that includes the serial number.
Copies: enter the number of duplicate labels to print. You can zero this field to exclude an Item from label printing. The number in the Copies field interacts with the Label Per setting. The Label Per setting helps LabelLink decide how many labels to print, such as one per item in the Base Unit of Measure, or 1 per item in the Transaction Unit of Measure. So, if the transaction is for 2-Cases, and you need 4-labels per Case, change the Copies to 4 and the Label Per setting to per Transaction Unit of Measure.
Total Labels: This field shows the total number of labels which will be created for an item given the Label Per setting and the number of Copies.
Print Button: Clicking Print on the main LabelLink window bypasses the Preview window and goes straight to the label printing software. When labelling software is installed locally, LabelLink will open label selected on the LabelLink window in the label printing software. Click the print button in the label print software to send the labels to a printer, then close the label printing software. When using label printing automation, the Print button will send labels to the automation server and close the LabelLink window.
Preview: Opens the Preview window. This window shows the information that will be used to generate each label. The Preview window gives you a chance to review the labels to ensure they will be generated in the correct quantity for each item, and to edit labels and delete labels. See the Preview chapter for more information.
